Purchasing Assistant
Job description
Our client is seeking a proactive and highly organised Purchasing Assistant to join their Procurement team. This is a full-time, permanent opportunity supporting the day-to-day purchasing function across multiple business sites.
This role is ideal for someone with strong administrative and organisational skills who is looking to develop a career within procurement and supply chain. Please note, this is not an Accounts or Finance position and does not include any accounting responsibilities.
Working Model
Full-time
Monday to Friday, 8:00am – 5:00pm (BST)
Key Responsibilities
Raise, process, and issue Purchase Orders in line with company procedures.
Collect and manage supplier and site delivery notes, following up with suppliers and internal stakeholders to obtain outstanding documentation.
Support the Procurement team with daily purchasing activities across multiple sites and departments.
Monitor supplier order acknowledgements and ensure purchase orders are accepted and confirmed within agreed timescales.
Expedite supplier deliveries and proactively chase outstanding orders to ensure on-time delivery.
Maintain accurate purchasing records, supplier information, and procurement data across company systems and spreadsheets.
Liaise with internal stakeholders regarding purchasing requirements, delivery schedules, and order updates.
Assist in resolving supplier queries relating to orders, deliveries, pricing discrepancies, and product specifications.
Support supplier performance monitoring and maintain supplier communication records.
Assist with procurement projects, cost-saving initiatives, and continuous improvement activities.
Support inventory management by monitoring stock levels and assisting with replenishment where required.
Provide general administrative support to the Procurement department and assist with additional duties as needed.
What We Are Looking For
Previous experience in an administrative, purchasing, procurement, or supply chain support role is advantageous.
Strong organisational skills with the ability to manage multiple tasks and meet deadlines.
Excellent attention to detail and high levels of accuracy.
Good working knowledge of Microsoft Office, particularly Excel and Outlook.
Strong written and verbal communication skills.
Ability to build positive working relationships with suppliers and internal stakeholders.
Self-motivated with the ability to work independently and use initiative.
Proactive approach to problem-solving.
Comfortable working in a fast-paced, collaborative environment.
