Job description

​Our client is seeking a proactive and highly organised Purchasing Assistant to join their Procurement team. This is a full-time, permanent opportunity supporting the day-to-day purchasing function across multiple business sites.

This role is ideal for someone with strong administrative and organisational skills who is looking to develop a career within procurement and supply chain. Please note, this is not an Accounts or Finance position and does not include any accounting responsibilities.

Working Model

Full-time

Monday to Friday, 8:00am – 5:00pm (BST)

Key Responsibilities
  • Raise, process, and issue Purchase Orders in line with company procedures.

  • Collect and manage supplier and site delivery notes, following up with suppliers and internal stakeholders to obtain outstanding documentation.

  • Support the Procurement team with daily purchasing activities across multiple sites and departments.

  • Monitor supplier order acknowledgements and ensure purchase orders are accepted and confirmed within agreed timescales.

  • Expedite supplier deliveries and proactively chase outstanding orders to ensure on-time delivery.

  • Maintain accurate purchasing records, supplier information, and procurement data across company systems and spreadsheets.

  • Liaise with internal stakeholders regarding purchasing requirements, delivery schedules, and order updates.

  • Assist in resolving supplier queries relating to orders, deliveries, pricing discrepancies, and product specifications.

  • Support supplier performance monitoring and maintain supplier communication records.

  • Assist with procurement projects, cost-saving initiatives, and continuous improvement activities.

  • Support inventory management by monitoring stock levels and assisting with replenishment where required.

  • Provide general administrative support to the Procurement department and assist with additional duties as needed.

What We Are Looking For
  • Previous experience in an administrative, purchasing, procurement, or supply chain support role is advantageous.

  • Strong organisational skills with the ability to manage multiple tasks and meet deadlines.

  • Excellent attention to detail and high levels of accuracy.

  • Good working knowledge of Microsoft Office, particularly Excel and Outlook.

  • Strong written and verbal communication skills.

  • Ability to build positive working relationships with suppliers and internal stakeholders.

  • Self-motivated with the ability to work independently and use initiative.

  • Proactive approach to problem-solving.

  • Comfortable working in a fast-paced, collaborative environment.
