​Kayman Recruitment have partnered with a client, who specialises in commercial fit out/installation projects in London and Kent, who are actively seeking a Document Administrative Support and the control of documentation for the projects which the company is undertaking and will be a central contact and source of information for the Project Administration and the Client.

Duties will include:

  • Coordinate all activities related to the Document Control Procedure, including Technical Documents, Drawings and Correspondence.

  • Input Document Metadata into the relevant SharePoint Lists and libraries ensuring that the information is accurate and up to date.

  • Manage the Documents Lifecycle from Design to Construction stages, tracking all comments, changes, issues, and evidence.

  • Issue controlled copies of latest approved documents and drawings to the Project Tea, Sub-Contractors and Client

  • Maintain the Documents, Drawings, Lists, Libraries, and Trackers in the Project SharePoint Sites under safe custody with easy traceability.

  • Ensure Compliance with Naming Conventions and Document Management processes and quality check all document data.

  • Organise meetings when required, including taking meeting minutes and actions.

  • Offer basic guidance of how to use SharePoint to the Project Team/

  • Assist the Project Team in locating the required information on SharePoint.

  • act as focal point for all Project Document Management matters.

  • Good communication and relationship management skills.

  • Proficient and knowledgeable in Microsoft O365 Packages.

  • Experience using Document Management Systems

  • Ability to rapidly input data and retrieve records and information attributes.

  • Ability to manage a given list of tasks.

  • Ability to work well either alone or as part of a team.

  • Understanding of Naming conventions and Document Management Processes % Procedures.

  • Ability to update and communicate accurate records.

  • Excellent organisational skills.

  • Able to prioritise and work independently when required
